123 HP Officejet Pro 8725 Printer can send and receive Faxes, including color faxes, and also, save them directly to a Network Folder or forward them as email attachment. Using the Printer Control Panel you can set a number of Fax option including resolution, contrast etc., for the on to be sent Faxes. Printer Control panel allows you to run a fax set up test, in order to confirm on the fax settings. Some of the basic Fax Setup is

You have a variety of ways to send a Fax from your 123 HP Officejet Pro 8725 Printer few of them are:

  • Send a standard fax
  • Send a standard fax using Computer
  • Send a Fax over a Phone
  • Send a Fax from Printer Memory
  • Send a Fax to several recipients
  • Send a Fax in Error Correction Mode

Sending a Standard Fax:

Using the Printer Control panel you can send a single or multiple pages, black and white or color fax to your recipient. While send a multiple pages Faxes always use the document feeder in the Printer. Use Scanner for sending a single page fax.

  1. Place your originals print side down on the Scanner glass or print side up in the document feeder
  2. Touch or Swipe down the tab in the Control Panel to open the Printer Dashboard
  3. Touch Fax and tap Send Now button
  4. Enter the fax number using the numerical keypad or using the phone book
  5. Touch Black or Color button

Tip: While entering a fax number you can add a pause using touch * button repeatedly, until a (-) appears on the display

Send a Standard Fax using Computer:

You can directly Fax a document from your Computer without the need for printing it. To avail this feature ensure that you have installed the 123 HP Officejet Pro 8725 Printer software, own a working Telephone line and a Fax set up that is installed and working.

  1. Open the File from your Computer that is to be Faxed
  2. Open the requisite software application and click Print
  3. Click the Printer drop down list and select the 123 HP Officejet Pro 8725 Printer that has a Fax name attached
  4. Click the Properties dialog box to change between black fax and color fax options
  5. Click OK button when you are finished with the Fax settings
  6. Click Print or OK button
  7. Key in the fax number and other additional information of your recipient, and then click Send Fax button

Sending a Standard Fax using Computer (Apple OS X):

  1. Open the File from your Computer that is to be Faxed and click Print
  2. Select the 123 HP Officejet Pro 8725 Printer that has a Fax name attached to it
  3. Enter the fax number or your recipient number using the Contacts available
  4. Click Fax button

Send a Fax over a Phone:

While sending a fax over a phone you can talk with the intended recipient prior sending the fax.

  1. Load your original with print side facing down
  2. Punch in the fax numbers from your telephone that is connected to your printer. If the recipient picks the call then inform him about the fax that is sent and convey him on receive it after hearing the fax tone
  3. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  4. Touch Fax button
  5. Touch Send Now button
  6. When you are about to send the Fax please select black or color fax

Send a Fax from Printer Memory:

It is a utility to store the black and white fax on to the memory and send it to the recipient / fax machine upon availability. Once the Fax information is store in the Printer Memory you can remove the originals from the document feeder tray.

Note: Only black and white fax can be sent from Printer Memory

  1. Steps involved to turn ON the Scan and Fax Method
  • Touch or Swipe down the tab in the Control Panel to open the Printer Dashboard
  • Touch Fax option
  • Touch Setup and then touch preferences
  • Touch Scan and Fax Method to turn it ON
  1. Place your original print side facing up in the document feeder
  2. From the Printer Dashboard touch Fax option
  3. Touch Send Now
  4. Enter the fax number manually using keypad, or Touch Phone Book and tap Contact / Group to select the desired number/s to dial
  5. Touch Send Fax

Herein the Printer scans the originals into the memory and transmits the fax when the recipient / fax machine is available

Send a Fax to several recipients:

You can setup the Printer to send your faxes to several numbers. You can create a group from the Phone Book contact list. However, all of the forwarded faxes can be sent in black and white regardless to the scanned originals.

To Send Faxes using Printer Control Panel:

  1. Place your originals print side down on the Scanner glass or print side up in the document feeder
  2. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  3. Touch Fax and tap Send Now
  4. Touch Phone Book and tap Group
  5. Touch the name of the Group you want to send Fax
  6. Touch Send Fax

Note: When the Power gets off then all of the Fax Forwarding settings is restored and is available when Power returns.

Send a Fax in Error Correction Mode:

Error Correction Mode is a secure mode over which faxes can be sent on a poor phone lines also. This Fax mode automatically request for retransmission of the erroneous portion of the message. However, the cost of the call and the time elapsed for sending fax is high. By default the Error Correction Mode is turned ON.

Procedure to change the ECM settings from the Printer Control Panel:

  1. Place your originals print side down on the Scanner glass or print side up in the document feeder
  2. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  3. Touch Fax and tap Setup
  4. Touch Preferences
  5. Scroll through the options to Touch Error Correction Mode to turn it ON/OFF

Receive a Fax

You can receive faxes either automatically or manually. You have to turn off the Auto Answer option to receive the Fax manually, otherwise this option remains always turned on. The Printer automatically answers the incoming calls and receives faxes upon a specified number of phone rings that is usually set under the Rings to answer settings. i.e., five rings is set default in Rings to Answer settings.

Receive a Fax manually:

When you are on the phone, the end user can talk to you and also send a fax at the same time. You will receive the Fax after hearing the fax tone from the phone receiver.

  1. Ensure the Printer is turned ON and is loaded with Paper in the input tray
  2. Keep away the papers from the document feeder tray
  3. Use a high number in the Rings to Answer settings in order to answer the incoming Fax call, and before the printer answers
  4. If you are on a conversation with the sender then ask him/her to press Start on their Fax machine
  5. Once you hear the Fax tone you can synchronize your Printer by using the control panel. Open the printer control panel and touch Fax, touch Send and Receive, and thereafter touch Receive Now
  6. You can hang the phone once the fax is transmitted or you can wait till the transmission is finished and acknowledge the sender on Fax received. During the Fax transmission the Phone line is kept silent

Set up backup Fax:

When your Printer is in an error condition or none of the faxes it receives, then you can setup backup Fax feature. You store all of the Faxes that is received.

To set up backup fax using Printer Control Panel:

  1. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  2. Touch Fax and touch setup
  3. Touch preferences and touch Backup Fax Reception
  4. Touch from custom settings. i.e., ON, ON Error only and OFF mode
  • ON: This is the default setting. Backup Fax setting stores all the Faxes received to memory. You can also use this option for retrieving up to 30 Faxes from memory. If the memory gets full then the Printer stops answering Fax calls
  • ON Error Only: If an error occurs in the Printer then all of the incoming faxes automatically gets stored in the printer memory. Once the Printing error is resolved then all the stored Faxes is printed automatically from the printer memory
  • OFF: When Backup Fax setting is turned OFF then you cannot store the incoming faxes to printer memory, especially done for Security reasons

Reprint received Faxes from Memory:

When using Reprint Faxes option all the incoming faxes gets stored to memory. You can reprint / retrieve up to 30 Faxes from memory.

To Reprint Faxes in Memory using Printer Control Panel:

  1. Ensure you have loaded the Paper to the input tray
  2. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  3. Touch Fax
  4. Touch Reprint.

Note: The faxes received is printed in reverse order from printer memory with Last In First Out priority

  1. Touch Received Fax List
  2. Select from the list of faxes stored and then Touch Print

Note: If you want to stop reprinting the received faxes then Touch Cancel Icon

Forward Faxes to an additional number:

You can set up the Printer to forward your faxes to an additional number. However, all of the forwarded faxes can be sent in black and white regardless to the faxes originally received.

To Forward Faxes using Printer Control Panel:

  1. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  2. Touch Fax and touch setup
  3. Touch Preferences
  4. Touch Fax Forwarding
  5. Touch either ON (Print and Forward) to print & forward Fax or ON (Forward) to simply forward the Fax
  6. After the prompt dialog enter the fax number using keypad to which you need to forward fax, and then Touch Done. And also, you will be prompted to key in start date, start time, end date and end time
  7. Once the Fax forwarding is activated the Touch OK to confirm

Note: When the Power gets off then all of the Fax Forwarding settings is restored and is available when Power returns. You can also Cancel Fax Forward by selecting OFF from Fax Forwarding menu

Block unwanted Fax Numbers:

If you have subscribed for a caller ID service from your Telephone provider then you can block unwanted incoming faxes that are to be answered by your Printer. Once you have created the Junk Fax numbers then the Printer automatically checks from the list and answers the incoming fax call. You can also print the Junk Fax numbers list.

Note: In some countries / regions the Junk Fax Blocking feature is not supported and so will not be displayed in the Preference Menu

To add a number to the Junk Fax List:

  1. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  2. Touch Fax and touch setup
  3. Touch Preferences
  4. Touch Junk Fax Blocking
  5. Touch + Sign and do one among the following
  • Touch Call History and select the fax number that needs to be blocked
  • Touch the Add button to manually key in the fax number that needs to be blocked

To delete a number in the Junk Fax List:

  1. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  2. Touch Fax and touch setup
  3. Touch Preferences
  4. Touch Junk Fax Blocking
  5. Select the number from the Junk Fax list and Touch Remove

To Print the Junk Fax List:

  1. Touch or Swipe down the Printer Control Panel to open the Printer Dashboard
  2. Touch Fax
  3. Touch Setup and then Touch Reports
  4. Touch Print Fax Reports
  5. Touch Junk Fax Report
  6. Touch Print
